Mission Extension

Article X of the Scholarship and Training Regulations for University Employees allowed the extension of the scholarship if necessary, as it stipulated that: "The University Council may extend the original scholarship period at home and abroad for one year for master's degrees, and two years for doctorates and medical fellowships, based on the proposal of the supervisor of the student's study and the recommendation of the department and college councils, or the institute and the like, and the scholarship and training committee, and the University Council may, based on the proposal of the supervisor of the student's study and the recommendation of the two department councils. The college, institute and the like, and the Scholarship and Training Committee add another year as a maximum for each stage after providing convincing justifications for that. As for scholarship abroad, the opinion of the student's study supervisor must be supported by the cultural attaché."

The extension is not resorted to by the scholarship student except when necessary and as much as needed, so he must exert maximum effort in the study and collection to finish obtaining the degree for which he is scholarship in the original period specified in the scholarship decision. If he is forced to extend due to academic circumstances such as changing the supervisor, changing the study plan, health conditions proven by medical reports, or family circumstances that prevented him from achieving and studying or the nature of the study. He then submits an extension request for the mission electronically, explaining the justifications for the extension request, the reasons that led to his delay in studying, and attaching the documents supporting his request.

Conditions for extending the mission:

The decision to extend the scholarship shall be issued by the University Council based on:

A recommendation for extension from the academic supervisor of the scholarship student at the university in which he is studying.
  •  
Endorsement of the Saudi cultural attaché in the country of scholarship.
  •  
Recommendation of the Department Council for extension (tripartite committee delegated by the Council).
  •  
Recommendation of the College Council for extension (tripartite committee delegated by the Council).
  •  
Recommendation of the Standing Committee for Scholarship and Training.
  •  
Achieving the required extension criteria Extension criteria

Documents to be attached to the application:

  •  
An official letter approved by the academic supervisor of the educational institution in which he is studying that includes a study report on the scholarship student since his registration at the university to date, recommending the need for extension, explaining its reasons, the required period and the expected date of graduation.

A study form written by the supervisor of the scholarship study at the university in which he studies. (Internal Scholarship) (External Scholarship)

Required extension criteria form (to be filled out by the Scientific Department at the University of Jeddah) (forms).

A report on the academic progress prepared by the scientific department at the University of Jeddah since his registration at the university in which he studies until now, including what has been accomplished from his thesis, the remaining amount of it, the difficulties and challenges he faced, and the reasons and justifications for the extension.
  •  
Report of the personal interview conducted with the scholarship student by the scientific department at the University of Jeddah (for the second and third extensions).
  •  
If the extension of the language period is attached, a letter from the institute in which he teaches shall be attached indicating the classes he studied, the number of weekly hours and the results of his tests. With the need to attach another certificate as a result of the TOEFL or IELTS test. If the scholarship student does not enter any of these tests, a letter from the institute shall be attached indicating the score obtained in the last test and its equivalent in the TOEFL or IELTS test, with a statement of the score required to join postgraduate studies at the university.
  •  
Any additional documents supporting the extension request. Such as transcripts of supplementary subjects, medical report. etc. (All documents required to be attached are indicated in the extension request for the kafa'a system).

The scholarship student must apply for an extension of his mission no more than three months before the end date of the mission so as not to be exposed to the suspension of his allocations due to the delay in the approval of the competent councils and committees on the extension, which takes a long time, sometimes up to two or three months.

The extension period for the language shall be (6) months, and the extension period for the academic stage shall not exceed (1) year, or the period needed if it is less than one year, and the period shall be written in letters (six months / one year).

Note:
The date of the beginning of the extension is the date of the end of the academic stage and is read from the system, whether in the Safir system or in the efficiency system, and the scholarship student can only modify the date in one case, which is if the extension is for the language stage, the scholarship is allowed to modify the date by writing the end date of the year of language study.
