Post-University Council Approval Procedures for Scholarship Candidates

The issuance of the University Council’s resolution does not signify the conclusion of the scholarship process. Rather, it marks the end of one phase and the commencement of another, during which the travel date is scheduled, flight bookings are confirmed, and the necessary data for the Executive Scholarship Decision and Travel Order are finalized.

Candidate Requirements

To proceed, the scholarship candidate must complete the following:

Determine the date of departure.

  •  

Define the travel itinerary.

  •  

Identify accompanying dependents.

  •  

Complete all required forms and pledges.

  •  

Fill out the Asset Handover Form (Custody Clearance).

  •  

Submit all required documentation to the Scholarship Administration, ensuring that original documents are presented for verification. (Female scholarship recipients must submit their documents to the Deanship of Graduate Studies – Female Campus).

  •  

Receive the official Executive Scholarship Decision.

Required Documentation

Pledge of Compliance with Regulations (Original).

  •  

Asset Handover Form (Original).

  •  

Contact Information Form (Original): Note that the final section of this form must be completed upon arrival at the study destination and emailed to: scholarships@uj.edu.sa.

  •  

Guardian (Wali) and Mahram Approval (Original).

  •  

Mahram’s Pledge to accompany the scholarship recipient throughout the duration of the mission (Original).

  •  

Copies of Visas (For international scholarships).

  •  

Updated Admission Letter: Required if the initial study start date has passed. (Note: All relevant templates are available under the "Forms and Pledges" section).

Important Notice

Pursuant to Article 8 of the Scholarship and Training Regulations for University Employees, the Executive Scholarship Decision mandates that the recipient arrive at their study destination within three months of its issuance; otherwise, the decision shall be rendered void. The article stipulates:

"The scholarship recipient shall travel to the place of study following the issuance of the Executive Decision. The decision will be canceled if the recipient fails to arrive at the study destination within three months of the date specified in the decision."

Accordingly, the Scholarship Administration intentionally defers the issuance of the Executive Decision until approximately one week prior to the scheduled travel date, provided the employee has submitted all necessary documents to open their file.

Procedure for Issuance: Upon departure, the candidate must contact the relevant officer at the Scholarship Administration to request the formal issuance of the decision. The candidate may then print the decision electronically via the Service Platform:
